Under the supervision of the Client Services Manager, the Administrative Assistant is responsible for providing clerical support to office personnel. This includes a wide range of variable tasks that can vary from day to day. This position requires great attention to detail and a quick working speed.



  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Sort and deliver mail
  • Review correspondence received and update collection system
  • Forward all required documentation to clients
  • Prepare letters and documents
  • Communicate with clients via phone, email, fax, and ftp
  • Review accounts for settlements and update accordingly
  • Maintains telecommunication system; Directing calls to the appropriate department as needed.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Log Voicemails daily
  • Create and print labels for various mailings
  • Create Fed Ex shipments for outgoing mail/packages
  • Various other duties as assigned by management


  • Education/Experience – Educational requirements include a high school diploma or equivalent. Previous office experience preferred.
  • Knowledge and experience using computerized accounting systems, Excel, Microsoft Word and ten-key efficiency.
  • Skilled in establishing and maintaining effective working relationships with participants, co-workers, and the clients.
  • Skilled in identifying and recommending problem resolution.
  • Ability to work independently with minimum supervision and ability to communicate clearly and effectively.
  • Have strong knowledge of current computer technology, including the use of computers, printers, 10-key machine and associated software.
